COVID-19 Guidelines

We have always prioritised the safety of our customers, suppliers, and in these uncertain times, this is no different. That’s why we are practicing and enforcing best practices for social distancing and self-isolation in the midst of COVID-19.

As you know, safety recommendations including those for our customers and employees can and will likely change in accordance to the UK Government guidance and recommendations. You can count on us to keep up-to-date with the latest information recommendations by the UK Government and make the best judgement and decisions for all parties. First Choice Hire ltd contractors, employees, representatives will not be required or forced to undertake any COVID-19 testing and have the option to test if they have developed symptoms lasting longer than 24 hours. We will insist during this period they isolate from the business until they feel the symptoms have disappeared and feel fit to return after review by phone or video call/conference. First Choice Hire Ltd confirm that Masks and PPE are not mandatory within our organisation and allow for the exemptions outlined on the UK Government website. We insist that all of our clients, customers and suppliers accept and appreciate the exemptions (as per the UK Government website) of our contractors, employees and representatives when visiting your site, project organisation and during any interactions. Failure to do so and we reserve the right to report this behaviour to the relevant authorities. First Choice Hire Ltd employees, contractors and representatives will not require any form of vaccinations to conduct their role and this includes collection, delivery, installation and removal of any First Choice Hire Ltd property.

HIRE:

To proceed with the hire of our instruments we require your full Company Contact details including Company Registration No. We will also require a Purchase Order representing the total agreed via email and/or quotation.

Order Confirmation:

The Client enters in to the agreement of First Choice Hire Ltd's Standard Terms of Business/Terms Conditions and Policies when confirmation by Email (that you wish to proceed with the services within the quotation), Signed Quote, Signed Proposal, Purchase Order, Purchase Order No., Project No. and/or the signing of the Hand Over Certificate is received and completed.

Hire Duration:

When hiring instruments (not fixed Environmental systems) through First Choice Hire Ltd the first day of Hire starts when you receive the kit(s) and ends the day we receive it back (including the shipping day returning to us within the duration). e.g 1 week hire: We ship the kit(s) to arrive with you on a Tuesday and expect the kit(s) back on the following Monday.

If you wish to extend the hire you must contact us before the original hire duration ends and we will invoice to add the agreed extended duration. If you do not contact us we will continue to bill you at a pro-rata day rate which you will be liable to pay.

Delivery & Shipping:

Our standard delivery charge is £25 for next day delivery unless agreed otherwise within the quotation. Although we use a very trusted Courier Service unfortunately we do not control the courier companies therefore any delays or errors we do not take responsibility for, however we will do our upmost to assist and try to rectify the issue(s).

We do not cover the cost of return shipment. It's the customers responsibility to return the kit(s) via a tracked and insured courier service at your own cost unless collection has been agreed within the quotation.

Data/Reports:

As expressed we do not provide recommendations of full consultancy such as hearing protection, PPE or any other forms of calculations redrawing the data. If we send a copy of the report in a non protected format such as Word,Excel etc you are to only use the data and information for your own reports. You do not have authorisation to submit our reports using any of our branding or company information.

Quality:

All of our equipment is checked before shipment and confirmed working. Please check the kit(s) immediately on arrival within the first 2 hours via (email with images) to report any issues you may have. Failure to report will affect your billing and you will be liable to pay if we see damage on return of the kit(s). Please do not add any stickers of deface our kit(s) in any way as there will be a £25 cleaning charge per item. This includes any contamination such as Sampling Pumps covered in Dust. This charge will be added to your final Invoice.

Site Monitoring/Consultancy/Site Measurements:

We will visit the requested site and perform measurements as agreed within the quotation. We will not be providing a report or recommendations based on our findings. Please make sure you send valid contact details of who we will be meeting with onsite and any safety information such as PPE etc.

Imagery, Video Footage and any other media:

First Choice Hire Ltd reserve the right to record media (including Photography and Video) from Cameras, Phones, Drones and other media recording equipment and publish via their own website, social media (including Equipment & Manufacturers accounts and websites) and promotional materials including mailers, flyers, poster, billboards and TV without consent from the subcontractor, contractor or any officials who do not work for or represent First Choice Hire Ltd on and within the vicinity of the project and site. These recordings of media from the site(s) and project(s) may occur during the project measurements and before and after installation/removal. We will always try to blur and hide the company names of our customers and clients when possible. Once the Project has been agreed and confirmed via Purchase Order, Purchase Order Number and/or Email delivered to a First Choice Hire Ltd employee or representative you are agreeing to comply to these terms and conditions

Training & Support:

The training we offer only refers to the use of our equipment which we have full competency in (Noise & Dust)to assist you with your Hire. Please note this is not an accredited course nor are any certificates provided.

Promotions & Special Offers:

All Promotions, Special Offers and Discounts offered apply to Handheld & Personal Monitoring Equipment only for Noise and Dust unless advised and agreed via email or quotation. The offers also applies to Data/Report Downloads, Onsite Monitoring and Training. If you already recieve a fixed discount rate an increase will be negotiated with us an confirmed via email or quotation. Fixed Monitoring systems for Long Term Projects with 24/7 data are not included. Delivery charges, Filters and Lab Analysis will continue to be at the standard rate. When we state Close Of Business/Play within the special offers this refers to our official opening hours available on the Contact page of our website. All orders must be placed before the deadline period to qualify.

Payment:

When going ahead with any of our services we expect full payment to be made via BACS or Credit Card (no cheques) within 25 Days of the Invoice date (not the date the invoice is sent).

However if your order/agreement is less than £500 excl VAT and you do not have an account with us you will be required to make payment before receiving the item(s)/services from First Choice Hire Ltd. This will be made via BACS or Credit Card.

When we perform our Site Monitoring, Consultancy and Site Measurements we expect at least 25% of the grand total paid via BACS or Credit Card before the service commences. We then require up to 75% of the Grand Total before the data and report is released. Then the remainder of the grand total on the invoice via BACS within 30 Days of the Invoice Date (not the date the invoice is sent).

Please note there is a 2% surcharge for all credit card payments when paying for our services.

Early Redemption Fee:

First Choice Hire Ltd reserve the right to charge an early redemption fee/penalty for the early return and cancellation of use for all of our equipment and systems provided and supplied to our customer/client. This Early Redemption fee/penalty will be calculated by charging 20% of the total value on the quotation provided by First Choice Hire Ltd for the hire referencing the Purchase Order and Purchase Order Number the customer/client have issued for the equipment, systems when more than 50% of the hire duration remains. This Early Redemption Fee/penalty will be displayed and charged to the customer/client on their final invoice issued by First Choice Hire Ltd for the hire of our equipment systems.

Payment (Fixed Environmental Monitoring Systems):

As per our Terms and Conditions all payments are to made via BACS (no cheques or any other forms) only using your Invoice No. as a the Reference. We will require two weeks payment before installation and the remaining invoices issued by First Choice Hire Ltd to be paid within 25 Days of each monthly invoice date shown on the invoice First Choice Hire Ltd have issued. Each Invoice is issued before the end of each calendar month.

Once the proposal/quotation has been agreed and signed you are now also in agreement with the Fixed Monitoring Terms & Conditions. Please read more here:

Payment Penalties & Charges:

First Choice Hire Ltd expect all invoices to be paid via BACS (or the agreed method) within 25 days of the invoice date shown within the invoice document. Failing to do so First Choice Hire Ltd reserve the right to charge interest and the penalties below seeking further legal action including debt collection if required:

5% of the total invoice value for the first 10 Days.

10% of the total invoice value exceeding over 10 Days.

Additional 3% of the total invoice value exceeding over 12 Days per day.

The Penalties will be issued and charged to the customer and/or client as part of the original invoice or as a new invoice (referencing the original invoice) and will also be displayed on the Statements issued by First Choice Hire Ltd. All payments including the penalties due, are then expected by the date set by First Choice Hire Ltd on the invoice and email communications. First Choice Hire Ltd reserve the right to demand the payment immediately if required and within 24 hours. Failure to make payment by the date set by First Choice Hire Ltd will result in the debt to be sold by First Choice Hire Ltd to a Debt Collecting Agency for further collection. First Choice Hire Ltd reserve the right to sell the debt to a Debt Collection Agencies of choice, and/or take further legal action regarding the invoices issued to the client.

If the Penalties (within the Statement provided) are shown all in red text and crossed out (using strikethrough) they have not been charged to the client. All Penalties issued by First Choice Hire Ltd are to be paid via BACS using the invoice no as the reference.

Credit Notes:

Any Credit Notes issued by First Choice Hire Ltd will be offset against current and future invoices and the Grand Total will be held on account. The future invoice, statements and/or account summaries will show this information.

Guarantee & Liability:

Once you have sent a Purchase Order, Signed a Proposal/Quotation and or confirmed by email the sale and/or hire of goods and services supplied by First Choice Hire Ltd you are now in agreement with all of our Terms of Business, Terms and Conditions and Policies. You hereby declare and agree the Director(s) of your organisation on there behalf that they personally guarantee and unconditionally and irrevocably undertake to pay First Choice Hire Ltd on demand all sums which are now or may from time to time become unpaid due to you from the said First Choice Hire Limited, limited to amounts outstanding and unpaid on account, purchase order and/or agreed signed proposal/quote and email only PLUS all interest and any legal fees should legal action be necessary. You also understand that this guarantee will continue in force until terminated and the Director(s) personal responsibility will not be affected by any indulgence you may grant to your Organisation to terms of payment or companies of debt of whatever nature or anything else which would not have discharged or affected the liability if the Director(s) had been principle debtor to themselves instead of the organisation. You are also in agreement that the guarantee shall be in respect of sums invoiced and outstanding on the Invoice document referencing your order no. (generated by First Choice Hire Ltd with can be a Purchase Order No., Project No., Quote No. and/or Invoice No.) with our any set off counterclaim or other deduction.

Cancellation:

We at First Choice Hire Ltd state that you must inform us via email of any cancellations 24 hours before the agreed service commences including the agreed delivery date and the agreed date of receipt of our equipment and systems. You must inform First Choice Hire Ltd via email with the Purchase Order and the Quote No. as the reference. If we arrive on site or ship the items before you cancel outside the 24 hour deadline you will be liable for the delivery, 2x weeks hire, when a sale of instruments/systems 75% of the purchase price (as per the agreed quotation and purchase order), travel and/or any cross hire and laboratories charges we at First Choice Hire Ltd may incur. First Choice Hire Ltd reserve the right not to state any charges incurred by the clients cancellation.

Warranty:

First Choice Hire Ltd do not offer any warranty with products that we sell or hire. Please check when purchasing if your items are under manufacturers warranty. First Choice Hire Ltd will only adhere to the manufacture and suppliers warranty terms when hiring and selling equipment, systems to our customers/clients.

Purchasing:

When First Choice Hire Ltd provide a Purchase Order to a supplier, 3rd Party and/or any other organisation both parties are agreeing to First Choice Hire Ltd Terms & Conditions, Terms of Business, GDPR Policy, Privacy documents and policies. First Choice Hire Ltd purchase equipment, systems and services on a minimum of 30 Day payment terms from receipt and or completion of all of the equipment, systems and services purchased and shown on the purchase order. This also includes installation and confirmed correct communications with any online portals, data websites and subscriptions as described when purchasing the equipment, systems. The equipment must be newly calibrated and within calibration, tested to which First Choice Hire Ltd will be using the equipment, systems and supplied in brand new condition unless First Choice Hire Ltd have requested otherwise in writing.

Disclaimer:

First Choice Hire Ltd cannot accept responsibility for samples that have been incorrectly collected or despatched by clients. First Choice Hire Ltd cannot and will not be providing any recommendations, legal support based on the comments and summarisation within the report or any previous reports only the data and measurements recorded within the our equipment and systems. First Choice Hire Ltd also confirm that this report is intended to support and assist the client acting on their instruction during the hire period or site visit. Any suggestions are based on an opinion on our best practices only. All of the results are based on a snapshot of the working environment and processes selected by the client and may vary if activities change significantly from the date of the measurement(s).

The interpretation or use of this data does not relieve the user of the responsibility of understanding the requirements of the appropriate legislation.

Changes & Amendments:

First Choice Hire Ltd reserve the right to change and/or amend the Terms and Conditions, Standard Terms of Business and Policies at any time without notification. We will notify you as best we can however we do not have to do so. These changes will affect all current and new contracts and orders placed with First Choice Hire Ltd.
